A Q&A with Castle Hot Springs
Q: What challenges or pain points were you experiencing before you began working with Book4Time?
A: Prior to using Book4Time we were scheduling everything in a Google Excel Document with limited employee access to minimize accidental changes. Our Pre-Arrival Team (concierge if you will) would be the owners of this document and all changes would need to go through them, when they weren’t in the office, we would have to email them to adjust the document. We were not able to store guest information, guest preferences, charge to OPERA, and had to manually post all massage services and paid adventures.
Q: How was the process of implementing the Book4Time within your company?
A: Getting people excited about improving our workflow was very easy as what we were doing was not optimal. We implemented this program in 2020 and in 2023 we are still finetuning the process and learning how to maximize Book4Time.
Q: What were the initial reactions from your team or colleagues when the new product/service was introduced?
A: Everyone was excited to move away from the Google Doc and into a more streamlined process and program.
Q: What specific features or aspects of Book4Time have had the most significant impact on your company's success?
A: Booking SPA / Wellness appointments has greatly improved as well as reserving spots for our adventures and activities. We also started to use it to keep inventory as well as a POS for retail.
Q: How has using Book4Time improved the overall efficiency or productivity of your team or operations?
A: We can maximize the number of body treatments we do in a day. It has also allowed us to see gaps in our Adventures and Activities schedules and fill those. Updating guest itineraries is much easier and it is great that it updates almost instantly for other departments to see.
Q: Have you noticed any unexpected benefits or results from using Book4Time that you didn't initially anticipate?
A: Nothing unexpected, we did anticipate it providing financial info as well as reporting and Book4Time delivered.
Q: What advice would you give to other companies considering implementing Book4Time?
A: Overall, Book4Time is a great software for teams to utilize in order to streamline your bookings, address any gaps, or seamlessly update itineraries. Castle Hot Springs is a very unique property, and there is much more the program can do that we don’t utilize. Be sure to consider your companies exact use cases prior to implementation so you can get the most out of the initial setup.
